About this policy
This policy applies to CareMatchr. It does not apply to earlier CareMatchr websites or applications. In this policy, “CareMatchr”, “we” and “us” mean CareMatchr.
CareMatchr is used by care professionals, care organisations and agency teams. Organisations give people access to their workspace through roles.
Information CareMatchr handles
CareMatchr handles the following information only where the related feature is enabled for your account or organisation.
- Account and sign-in: your email address, the identity confirmed when you sign in, and your signed-in session.
- Profile: your legal and preferred names, date of birth, phone number, home address and emergency contact, as you enter them.
- Candidate records: names, contact details, role, location, status, notes and record origin kept by an organisation in its candidate directory.
- Compliance: the requirements your organisation sets, their review status, review decisions and reasons, and policy acknowledgements.
- Jobs and applications: the jobs you apply for, the display name shared with the organisation, and the status of each application.
- Assignments and attendance: scheduled times, cancellation reasons, and check-in and check-out times recorded by CareMatchr’s servers.
- Timesheets: times taken from confirmed attendance, proposed corrections and their reasons, and review decisions.
- Security and audit records: server-side records of sign-ins, access decisions and workflow actions.
Imported candidate records
Organisations can import candidate records from earlier systems. Imported information may be out of date and has not been verified by CareMatchr. Compliance information in an imported record is shown as unverified and is not treated as compliance approval.
Imported candidate records are not automatically linked to anyone’s CareMatchr account. Importing a record does not create an account or send an invitation.
How the information is used
- To sign you in and keep your session secure.
- To show you the work, records and requirements that belong to your role.
- To let authorised organisation users review compliance, applications, assignments, attendance and timesheets.
- To keep a history of changes and decisions.
- To protect the service, investigate problems and keep workflows consistent.
Who can see it
Access is limited by the organisation, site and role given to each account, and it is checked on every page and every action. Each organisation’s records are kept separate from other organisations’ records. Authorised organisation users see the information their role needs.
A small number of CareMatchr support staff can open an organisation’s workspace to give support or keep the service secure. Each visit is time-limited, needs a recorded reason, and every action taken is recorded against the named staff member. Support staff cannot open evidence files or care records.
Location and monitoring
The current attendance flow records check-in and check-out times on CareMatchr’s servers. It does not use GPS tracking, does not monitor your location continuously and is not used for surveillance. CareMatchr does not record anything from your device when you are not using it.
Not available in this release
The following are not available, so CareMatchr does not collect information for them:
- Evidence file transfer.
- Automated document scanning or automated evidence assessment.
- Native mobile applications.
- Payroll, billing, invoicing and payments.
Cookies and browser storage
CareMatchr uses cookies only to sign you in and keep your session secure. It does not use advertising or analytics cookies. Some pages keep an action you have not yet confirmed in the open page until you confirm or discard it.
Your requests
If you have a worker profile, you can view and update your details on the Your profile page after signing in.
For data protection questions, or to exercise any of your rights, email privacy@issacharson.com. For anything else, contact support@carematchr.com. Privacy requests cannot be made from a Settings screen in the current release. Where an organisation keeps a record about you, we may need to involve that organisation to respond.
If you need information about how long records are kept or which service providers support CareMatchr, email privacy@issacharson.com.
Security
CareMatchr checks access on the server for every request, keeps organisations separate and keeps changes in history rather than overwriting them. No system is completely secure. If you think your account has been misused, email support@carematchr.com straight away.
Changes to this policy
CareMatchr is being released in stages. When the features covered here change, this policy will be updated and the version shown at the top of this page will change.
